How to Bulk Paste and Split Text into Multiple Cells in Google Sheets ๐Ÿ“Š

Have you ever tried to paste a large dataset into Google Sheets, only to have every single bit of information crammed into one lonely column? It is a common frustration, but you do not have to manually move that data cell by cell. ๐Ÿ› ๏ธ

In this guide, I will show you how to use the Split Text to Columns feature to bulk paste your data and organize it perfectly in seconds. ๐Ÿš€


Step 1: Prepare Your Formatting ๐Ÿ“‹

Before you paste anything, you need to make sure your destination cell is ready.

  1. Select the top-left cell of the area where you want your data to go.
  2. Go to the top menu and select More Formats (the “123” icon). ๐Ÿ”ข
  3. Choose Plain Text. ๐Ÿ“„

Pro Tip: Avoid having “Currency” or “Percentage” turned on before you paste. If your data contains commas, Google Sheets might misinterpret them as massive numbers, creating a formatting nightmare! ๐Ÿ˜ฑ


Step 2: Paste Your Data ๐Ÿ“ฅ

Now, grab the data you want to import from your source (like another document or an AI tool). ๐Ÿ’ป

  1. Copy your data (Shortcut: Ctrl + C).
  2. Go back to your Google Sheet, select that top-left cell again, and paste (Shortcut: Ctrl + V).
  3. At this point, your data will likely still be stuck in Column A. ๐Ÿ“

Step 3: Use Split Text to Columns โœจ

This is where the magic happens.

  1. Highlight the column that contains all your pasted data.
  2. Go to the Data menu at the top. ๐Ÿ“‚
  3. Select Split text to columns.

Google Sheets will usually “Detect automatically” how your data is separated. If your information is separated by commas, it should instantly jump into the correct individual rows and columns. โœ…


Step 4: Choose Your Separator ๐Ÿ”

If the automatic detection does not look right, you can manually choose your separator from the small pop-up menu at the bottom of your data:

  • Comma: Best for most imports.
  • Semicolon
  • Period
  • Space: Be careful with this! If your data includes two-word headings like “Home Insurance,” using a space separator will split those words into two different columns and mess up your spreadsheet layout. โš ๏ธ
